Introduction: This Standard Operating Procedure (SOP) guide will walk you through the process of setting up and using the Special Order Pipeline feature in the command center platform. Procedure:
Accessing the Pipelines Area: a. Log in to the command center platform. b. Navigate to the "Opportunities" section, where you will find the Pipelines area.
Creating a New Pipeline: a. Click on the option to create a new pipeline. b. Provide a name for the pipeline, e.g., "Special Orders." c. Familiarize yourself with the stages of the special order pipeline explained in the video:
- Product Requested
- Product Found on Hold
- Lead Contacted, Still Wants
- Product Ordered, Deposit Taken
- Picked Up/Completed
Adding Stages to the Pipeline: a. Within the "Special Orders" pipeline, click on "Add New Stage." b. Add the stages mentioned in Step 2, ensuring they follow the order given in the video. c. Customize the stages as needed based on your specific requirements.
Managing Special Orders: a. To initiate a special order, add the customer's details to the pipeline:
- Click on "New" within the Opportunities section.
- Enter the customer's contact information, such as name, email, and optionally, phone number.
- Specify the product requested, e.g., "Glock 19 MOS, FDE," and assign it to the "Product Requested" stage.
- Optionally, include the lead value (cost) and opportunity source (e.g., walk-in, call-in, email, chat on Facebook).
b. Tracking the special order progress: - Move the special order through each stage as you progress in the process.
- When you find the requested product, place it on hold with your distributor and move the order to the "Product Found on Hold" stage.
- Contact the customer to confirm their continued interest in the product. Update the stage accordingly (e.g., "Lead Contacted, Still Wants").
- Once the customer confirms their intent to purchase, take the deposit before ordering the product and move it to the "Product Ordered, Deposit Taken" stage.
- Upon completion of the transaction, move the order to the "Picked Up/Completed" stage.
c. Optional: Analyzing order history: - Retain completed orders within the pipeline to keep a record of special orders processed.
- Review the completed orders periodically to identify trends or popular products for potential stock expansion.
